ORGANIZATION
Founded in 1997, Profile Theatre is one of the oldest continuously operating theaters in the state. Profile Theatre centers an entire season of world class productions and community engagement activities through the lens of the season-long Featured Playwright, whose unique vision broadens our perspective on the world and deepens our collective compassion. We do this through large-scale professional productions, our expansive In Dialogue program, the Playwrights Residency, and our signature Community Profile program. Profile has grown to be one of the most well-regarded theaters in Portland, with a reputation for bringing intelligence, excellence and passion to the stage.

POSITION AND RESPONSIBILITIES
Ensure compliance with Federal, State, Local, and Union regulations and Profile Theatre Company policies and procedures while managing day-to-day operations of Profile Theatre, including:

Company Management

  • Develop and execute contracts for seasonal, production, and other staff. – Distribute / collect / file Employment Paperwork
  • Gusto Payroll Account Management, including tracking supervisor approvals for timely payroll processing and ensuring accurate account coding.
  • Process Contractor and Employee-submitted requests and reports, and match submissions to transactions or create transactions in Checkbook.io.
  • Book travel, housing, and other accommodations for guest artists as needed.
  • Organize, maintain, and manage company calendars, including staff, production, and other project calendars in GSuite.
  • Take meeting notes and track team goals and tasks during weekly staff meetings.
  • Provide support to Employees or Contractors in budget tracking and reporting, including the monitoring and documentation of credit card transactions and advance expenses.
  • End of Year Tax Filing of 1099s and W2s

Manage Accounts Payable

  • Create weekly Accounts Payable report
  • Obtain appropriate documentation (signatures or electronic approvals) – Distribute virtual and physical payments via EFT, Check, Credit Card, or other Authorized Third Party Account
  • Document Incoming Invoices, Bills, Credit Card Receipts, Check Requests, Reimbursement Requests, Advance Expense Reports, and other financial transactions.
  • Track payment lifecycle and ensure timely payments of payroll and other accounts payable
  • Manage Reimbursement and Check Requests
  • Manage Accounts Receivable
  • Process Deposits of cash, checks, or electronic distributions
  • Ensure proper recording of each ACH payment transaction in MonkeyPod CRM from bank statements.
  • Properly document all transactions in MonkeyPod CRM
  • Enter and send invoices or pledges as requested

Office Management

  • Pick up and process incoming mail and/or deliveries at the PO Box and Office, and make outgoing mail deliveries
  • Maintain office equipment, phone system, cloud server, etc.
  • Manage inventory and purchase supplies as needed or requested – Provide Reports from MonkeyPod CRM as requested
  • Maintain Profile’s Physical and Cloud Databases Other Duties
  • Coordinate with Profile Theatre third party accountant/bookkeeper to assist with reconciliation and company profit/loss and other budget reporting.
  • Represent Profile in the community, providing additional support for and fundraisers, events, celebrations, opening nights, first rehearsals, etc. – Other duties as assigned

QUALIFICATIONS

  • Strong computer skills, including comfort with cloud-based databases and software like Quickbooks, Salesforce, MonkeyPod or comparable CRM, Checkbook or other AP software, Gusto or other payroll systems, GSuite, MS Office, Adobe, etc.
  • Understanding of Federal, State, and Local tax compliance requirements, employment law, and knowledge of general accounting and human resources best practices, or willingness to learn.
  • Can work independently and in a small team environment.

COMPENSATION

LOCATION

This position will be expected to report to the Profile Theatre office located at 216 NW 13th Ave, with some tasks able to be completed remotely from home with own equipment as mutually negotiated and agreed in advance with the Company.

SCHEDULE
The Company Manager will work a variable schedule as determined in collaboration with the Artistic Director. Projected 20-25 hours a week.
