Director of Communications

POSITION AND RESPONSIBILITIES

The Director of Communications is primarily responsible for the planning and executing of a comprehensive earned revenue strategy with an eye toward expanding our resources to match a growing organization through programmatic and institutional marketing. Working closely with the Artistic Director, the Director of Communications will create and implement a comprehensive communications plan, manage the marketing budget, and be primarily responsible for patron experience from first contact to stage lights going up. The Director of Communications oversees two direct reports and one dual report: a full-time Company and Box Office Manager responsible for setting up all events in EventBrite and MonkeyPod, pulling all sales and donation reports in our software as needed, and managing the CRM; a quarter time Box Office Associate responsible for seating all patrons, managing group sales including affinity nights, alumni nights and other special sales, and other duties as tasked; and a quarter-time Front of House Manager responsible for running the lobby, hiring house managers and box office associates, and staffing ushers.

Profile Theatre strives for a non-siloed, highly collaborative workplace. As such, the Communications Director will collaborate closely with the Artistic Director on an integrated communications strategy to the Profile community of donors and sponsors and with the Line Producer and Director of Community Engagement on occasional departmental marketing needs. Profile Theatre staff all work towards several organizational goals: to produce high-level artistic events, to achieve financial stability and maintain fiscal transparency, and to develop and deepen relationships in our community. 

  1. The Director of Communications will collaborate with the Artistic Director, the Board and staff to plan and execute a strategic communications program focused on building annual earned revenue.
    1. Institutional Marketing
      1. Create an institutional marketing strategy to articulate brand identity, programmatic efforts and the impact of Profile Theatre in the community. 
      2. Act as an ambassador of the organization’s institutional voice and brand.
      3. Maintain and manage organization social media (Instagram, Facebook, TikTok) and website (WordPress). 
  1. Programmatic Marketing
    1. Develop and execute a programmatic marketing strategy to drive memberships/subscriptions and single ticket sales to meet budget goals.
    2. Create or contract the creation of digital and physical collateral. 
    3. Graphic Design
  1. Earned Revenue Strategy
    1. Conceptualize and follow an earned revenue strategy to drive capacity utilization, memberships/subscriptions, and increasing overall earned revenue with a focus on inclined non-attenders.
    2. Analyze metrics to inform resource reallocation, leading to heightened impact of marketing investment. 
  1. Box Office Management
    1. Oversee the Company and Box Office Manager’s set-up of events, season Memberships and discount codes in MonkeyPod and EventBrite.
    2. Oversee the Box Office Associate’s customer service with patrons and Members, creation and sending of pro-forma emails, and direct the Box Office Associate’s creation of social media posts.
  1. Audience Services
    1. Oversee Audience Services, including end-to-end patron experience, and all front of house management (concessions, ushers and house managers). 
    2. Create physical lobby collateral in collaboration with the Director of Community Engagement. 
  1. Budget
    1. Execute and track approved Communications budget, including creating reasonable income and expense projections in annual operating budget.
  1. Meetings
    1. Attend all Profile Theatre meetings as determined by the Artistic Director, including weekly or bi-weekly staff meetings, and daily check-ins. 
  2. Annual Gala
    1. Assist with planning of annual gala including but not limited to attending committee meetings, collateral design and print ordering, and event logistics. 
    2. Create event tickets in CRM or ticketing platform, assist in reconciliation of gala donations, oversee on-site registration day of the event, and other duties as assigned.  

QUALIFICATIONS

An ability to think strategically, analyze results in real time, and course correct where needed is an essential quality. A willingness to try new things and experiment in a performing arts market that is radically different than it was pre-pandemic.

Strong collaborative and leadership skills. An ability to motivate and supervise others.

Excellent written skills. An ability to identify what is exciting about a new play or theatre experience and communicate that through the written word.

Excellent visual sense. An ability to direct a contracted graphic designer towards the production of eye-catching, dynamic visuals across all platforms.

Ease and familiarity with social media platforms and how to drive eyes and clicks.

Strong computer skills, including comfort with cloud-based databases and software like CRMs (MonkeyPod, Salesforce Patron Manager), ticketing software (Eventbrite), and design software (Photoshop, Canva, Illustrator), plus GSuite, MS Office, Adobe, etc.

Can work independently and in a small team environment.

LOCATION

This position will be expected to report to the Profile Theatre office located at 216 NW 13th Ave, and to the Imago Theatre located at SE 8th Ave. during performance production runs. Some tasks are able to be completed remotely from home with own equipment as mutually negotiated and agreed in advance with the Artistic Director. 

SCHEDULE

This is a full time, exempt salaried position. Profile Theatre’s office is currently hybrid; When not at the theatre, about 50% of hours are expected to be in person, and the rest remote. Attendance at first reads, opening nights, galas and other member events is required.

Company Manager

ORGANIZATION 

Founded in 1997, Profile Theatre is one of the oldest continuously operating theaters in Oregon, and one of only three theaters in the country to take a deep dive into the bodies of work of contemporary playwrights. Every two years, Profile Theatre selects two mid-career writers and centers two years of programming around them, with productions of older plays, newer plays and world premieres and commissions. In so doing, Profile Theatre accords its audience, community and staff unparalleled access into the work and worldview of some of the most exciting and accomplished writers of our time. Profile Theatre staff will have the opportunity to work closely with playwrights and other artists of national repute, alongside some of the most talented artists in the Portland metro area. Recent Featured Playwrights have included Kristoffer Diaz, Lauren Yee, christopher oscar peña, Branden Jacobs-Jenkins, Paula Vogel, Lynn Nottage, and Lisa Kron among others.

POSITION AND RESPONSIBILITIES

The Company Manager has three main job responsibilities: they are the primary staff member keeping the day-to-day operations of the theatre moving forward; they are the primary HR coordinator for both year-round staff and seasonal artists and technicians; and they are the primary staff member setting up events including both Memberships and individual productions / performances in our ticketing software and CRM. 

Operations management include facilitating accounts payable, including approvals, processing and documenting; accounts receivable including receiving, recording and depositing checks; and light office management. HR coordination includes drafting and executing of seasonal contracts, running both production and staff payroll, and liaising with out of town guest artists, particularly their travel and housing needs. Box office management includes serving as the primary patron information technology manager via Profile’s CRM, setting up events and discount codes, selling single tickets and seating Members, and ensuring the Front of House Manager has the info they need regarding attendance of each performance.

Ensure compliance with Federal, State, Local, and Union regulations and Profile Theatre Company policies and procedures while managing day-to-day operations of Profile Theatre, including:

Box Office Management

  • Build all ticketed events and seasons in Eventbrite
  • Build subscription/membership packages in MonkeyPod and/or PatronManager.
  • Maintain patron data in both MonkeyPod and PatronManager and update website and ticketing platforms as needed.
  • Fulfill requests from the Director of Communications and other staff for patron and donor lists and reports.
  • Fulfill ticket requests, membership ticket benefits, complementary tickets, and other single ticket sales for Profile Theatre Events as needed. Oversee the Box Office Associate in doing the same during high traffic periods leading up to and during productions.

Company Management

  • Develop and execute contracts for seasonal, production, and other staff.
  • Distribute / collect / file Employment Paperwork.
  • Serve as primary guest artist liaison, overseeing onboarding, arranging out-of-town travel and housing, and ensuring a positive experience with the Company.
  • Gusto Payroll Account Management, including tracking supervisor approvals for timely payroll processing and ensuring accurate account coding.
  • Ensure all staff members have the technology access they need including access to Google drive, Gchat, email inboxes, zoom accounts, etc. 
  • Provide support to Employees or Contractors in budget tracking and reporting, including the monitoring and documentation of credit card transactions and advance expenses. 
  • End of Year Tax Filing of 1099s and W2s.

Manage Accounts Payable

  • Create weekly Accounts Payable report, including invoices, bills and check requests from staff. 
  • Obtain appropriate documentation (signatures or electronic approvals).
  • Process weekly AP payments via EFT, Check, Credit Card, or other Authorized Third Party Account and document all transitions appropriately.
  • Track payment lifecycle and ensure timely payments of payroll and other accounts payable.

Manage Accounts Receivable

  • Process Deposits of cash, checks, or electronic distributions.
  • Ensure proper recording of each ACH payment transaction in MonkeyPod CRM from bank statements and ensure other transactions are properly documented.
  • Enter and send invoices or pledges as requested.

Office Management

  • Pick up and process incoming mail and/or deliveries at the PO Box and Office, and make outgoing mail deliveries.
  • Maintain office equipment, phone system, cloud server, etc.
  • Manage inventory and purchase supplies as needed or requested.
  • Maintain Profile’s Physical and Cloud Databases.

Other Duties

  • Coordinate with Profile Theatre third party accountant/bookkeeper to assist with reconciliation and company profit/loss and other budget reporting. 
  • Represent Profile in the community, providing additional support for and fundraisers, events, celebrations, opening nights, first rehearsals, etc.  
  • Other duties as assigned.

QUALIFICATIONS

Strong computer skills, including comfort with cloud-based databases and software. 

Experience working with payroll software like Intuit, Paychex or Gusto, A/P software like bill.com or checkbook.io strongly encouraged. Experience with CRMs like Salesforce, MonkeyPod or comparable CRM, also strongly encouraged, in addition to office software like GSuite, MS Office, Adobe, etc.

Understanding of Federal, State, and Local tax compliance requirements, employment law, and knowledge of general accounting and human resources best practices, or willingness to learn. 

An eye towards creating a transparent, equitable and teamwork environment both ith year-round staff and visiting artists.

Can work independently and in a small team environment. 

COMPENSATION

Salary is $50,000 plus medical and dental benefits for which the Company pays 90% of the premium, and PTO ranging from 2 weeks in year one to four weeks in year three and beyond.

LOCATION

This position will be expected to report at least 50% of the week to the Profile Theatre office located at 216 NW 13th Ave, with some tasks able to be completed remotely from home with own equipment as mutually negotiated and agreed in advance with Company. 

SCHEDULE

The Company Manager is a full-time, exempt position. While the position is primarily daytime, there are a handful of evening and weekend events throughout the year, including first rehearsals and opening nights of productions, the annual gala and other events from time to time.

To Artistic Director and Director of Communications.
