Director of Communications

POSITION AND RESPONSIBILITIES

The Director of Communications is primarily responsible for the planning and executing of a comprehensive earned revenue strategy with an eye toward expanding our resources to match a growing organization through programmatic and institutional marketing. Working closely with the Artistic Director, the Director of Communications will create and implement a comprehensive communications plan, manage the marketing budget, and be primarily responsible for patron experience from first contact to stage lights going up. The Director of Communications oversees two direct reports and one dual report: a full-time Company and Box Office Manager responsible for setting up all events in EventBrite and MonkeyPod, pulling all sales and donation reports in our software as needed, and managing the CRM; a quarter time Box Office Associate responsible for seating all patrons, managing group sales including affinity nights, alumni nights and other special sales, and other duties as tasked; and a quarter-time Front of House Manager responsible for running the lobby, hiring house managers and box office associates, and staffing ushers.

Profile Theatre strives for a non-siloed, highly collaborative workplace. As such, the Communications Director will collaborate closely with the Artistic Director on an integrated communications strategy to the Profile community of donors and sponsors and with the Line Producer and Director of Community Engagement on occasional departmental marketing needs. Profile Theatre staff all work towards several organizational goals: to produce high-level artistic events, to achieve financial stability and maintain fiscal transparency, and to develop and deepen relationships in our community. 

  1. The Director of Communications will collaborate with the Artistic Director, the Board and staff to plan and execute a strategic communications program focused on building annual earned revenue.
    1. Institutional Marketing
      1. Create an institutional marketing strategy to articulate brand identity, programmatic efforts and the impact of Profile Theatre in the community. 
      2. Act as an ambassador of the organization’s institutional voice and brand.
      3. Maintain and manage organization social media (Instagram, Facebook, TikTok) and website (WordPress). 
  1. Programmatic Marketing
    1. Develop and execute a programmatic marketing strategy to drive memberships/subscriptions and single ticket sales to meet budget goals.
    2. Create or contract the creation of digital and physical collateral. 
    3. Graphic Design
  1. Earned Revenue Strategy
    1. Conceptualize and follow an earned revenue strategy to drive capacity utilization, memberships/subscriptions, and increasing overall earned revenue with a focus on inclined non-attenders.
    2. Analyze metrics to inform resource reallocation, leading to heightened impact of marketing investment. 
  1. Box Office Management
    1. Oversee the Company and Box Office Manager’s set-up of events, season Memberships and discount codes in MonkeyPod and EventBrite.
    2. Oversee the Box Office Associate’s customer service with patrons and Members, creation and sending of pro-forma emails, and direct the Box Office Associate’s creation of social media posts.
  1. Audience Services
    1. Oversee Audience Services, including end-to-end patron experience, and all front of house management (concessions, ushers and house managers). 
    2. Create physical lobby collateral in collaboration with the Director of Community Engagement. 
  1. Budget
    1. Execute and track approved Communications budget, including creating reasonable income and expense projections in annual operating budget.
  1. Meetings
    1. Attend all Profile Theatre meetings as determined by the Artistic Director, including weekly or bi-weekly staff meetings, and daily check-ins. 
  2. Annual Gala
    1. Assist with planning of annual gala including but not limited to attending committee meetings, collateral design and print ordering, and event logistics. 
    2. Create event tickets in CRM or ticketing platform, assist in reconciliation of gala donations, oversee on-site registration day of the event, and other duties as assigned.  

QUALIFICATIONS

An ability to think strategically, analyze results in real time, and course correct where needed is an essential quality. A willingness to try new things and experiment in a performing arts market that is radically different than it was pre-pandemic.

Strong collaborative and leadership skills. An ability to motivate and supervise others.

Excellent written skills. An ability to identify what is exciting about a new play or theatre experience and communicate that through the written word.

Excellent visual sense. An ability to direct a contracted graphic designer towards the production of eye-catching, dynamic visuals across all platforms.

Ease and familiarity with social media platforms and how to drive eyes and clicks.

Strong computer skills, including comfort with cloud-based databases and software like CRMs (MonkeyPod, Salesforce Patron Manager), ticketing software (Eventbrite), and design software (Photoshop, Canva, Illustrator), plus GSuite, MS Office, Adobe, etc.

Can work independently and in a small team environment.

Company Manager

ORGANIZATION 

Founded in 1997, Profile Theatre is one of the oldest continuously operating theaters in Oregon, and one of only three theaters in the country to take a deep dive into the bodies of work of contemporary playwrights. Every two years, Profile Theatre selects two mid-career writers and centers two years of programming around them, with productions of older plays, newer plays and world premieres and commissions. In so doing, Profile Theatre accords its audience, community and staff unparalleled access into the work and worldview of some of the most exciting and accomplished writers of our time. Profile Theatre staff will have the opportunity to work closely with playwrights and other artists of national repute, alongside some of the most talented artists in the Portland metro area. POSITION AND RESPONSIBILITIES

The Company Manager has three main job responsibilities: they are the primary staff member keeping the day-to-day operations of the theatre moving forward; they are the primary HR coordinator for both year-round staff and seasonal artists and technicians; and they are the primary staff member setting up events including both Memberships and individual productions / performances in our ticketing software and CRM. 

Operations management include facilitating accounts payable, including approvals, processing and documenting; accounts receivable including receiving, recording and depositing checks; and light office management. HR coordination includes drafting and executing of seasonal contracts, running both production and staff payroll, and liaising with out of town guest artists, particularly their travel and housing needs. Box office management includes serving as the primary patron information technology manager via Profile’s CRM, setting up events and discount codes, selling single tickets and seating Members, and ensuring the Front of House Manager has the info they need regarding attendance of each performance.

Ensure compliance with Federal, State, Local, and Union regulations and Profile Theatre Company policies and procedures while managing day-to-day operations of Profile Theatre, including:

Box Office Management

  • Build all ticketed events and seasons in Eventbrite
  • Build subscription/membership packages in MonkeyPod and/or PatronManager.
  • Maintain patron data in both MonkeyPod and PatronManager and update website and ticketing platforms as needed.
  • Fulfill requests from the Director of Communications and other staff for patron and donor lists and reports.
  • Fulfill ticket requests, membership ticket benefits, complementary tickets, and other single ticket sales for Profile Theatre Events as needed. Oversee the Box Office Associate in doing the same during high traffic periods leading up to and during productions.

Company Management

  • Develop and execute contracts for seasonal, production, and other staff.
  • Distribute / collect / file Employment Paperwork.
  • Serve as primary guest artist liaison, overseeing onboarding, arranging out-of-town travel and housing, and ensuring a positive experience with the Company.
  • Gusto Payroll Account Management, including tracking supervisor approvals for timely payroll processing and ensuring accurate account coding.
  • Ensure all staff members have the technology access they need including access to Google drive, Gchat, email inboxes, zoom accounts, etc. 
  • Provide support to Employees or Contractors in budget tracking and reporting, including the monitoring and documentation of credit card transactions and advance expenses. 
  • End of Year Tax Filing of 1099s and W2s.

Manage Accounts Payable

  • Create weekly Accounts Payable report, including invoices, bills and check requests from staff. 
  • Obtain appropriate documentation (signatures or electronic approvals).
  • Process weekly AP payments via EFT, Check, Credit Card, or other Authorized Third Party Account and document all transitions appropriately.
  • Track payment lifecycle and ensure timely payments of payroll and other accounts payable.

Manage Accounts Receivable

  • Process Deposits of cash, checks, or electronic distributions.
  • Ensure proper recording of each ACH payment transaction in MonkeyPod CRM from bank statements and ensure other transactions are properly documented.
  • Enter and send invoices or pledges as requested.

Office Management

  • Pick up and process incoming mail and/or deliveries at the PO Box and Office, and make outgoing mail deliveries.
  • Maintain office equipment, phone system, cloud server, etc.
  • Manage inventory and purchase supplies as needed or requested.
  • Maintain Profile’s Physical and Cloud Databases.

Other Duties

  • Coordinate with Profile Theatre third party accountant/bookkeeper to assist with reconciliation and company profit/loss and other budget reporting. 
  • Represent Profile in the community, providing additional support for and fundraisers, events, celebrations, opening nights, first rehearsals, etc.  
  • Other duties as assigned.

QUALIFICATIONS

Strong computer skills, including comfort with cloud-based databases and software. 

Experience working with payroll software like Intuit, Paychex or Gusto, A/P software like bill.com or checkbook.io strongly encouraged. Experience with CRMs like Salesforce, MonkeyPod or comparable CRM, also strongly encouraged, in addition to office software like GSuite, MS Office, Adobe, etc.

Understanding of Federal, State, and Local tax compliance requirements, employment law, and knowledge of general accounting and human resources best practices, or willingness to learn. 

An eye towards creating a transparent, equitable and teamwork environment both ith year-round staff and visiting artists.

Can work independently and in a small team environment. 

COMPENSATION

Box Office Manager

The Box Office Manager is the primary staff member interacting with patrons purchasing tickets, with Members who need to select dates and seats, and at special Member events. The Box Office Manager also supports the Director of Communications as the primary patron information technology manager via Profile’s CRM, and facilitates group sales including Affinity Nights, Alumni Nights and other group sales as come up. The Box Office Manager collaborates with the Front of House Manager to ensure they have all needed information regarding the attendance of each performance.

The Box Office Manager is projected to work 20 hours a week. At least half of this time is expected to be in the office. The rest of the time may be worked remotely with set hours. In between seasons (usually summer), there is the potential to flex down some. LINE PRODUCER

POSITION AND RESPONSIBILITIES

The Line Producer’s main responsibility is to oversee all productions at the theatre. We like to say the Line Producer is charged with getting the art into the theatre space. The Line Producer participates in season planning, providing rough budgets for shows under consideration, identifying opportunities and challenges from a production standpoint, and providing key artistic input and collaboration. The Line Producer is the production manager for all productions, hiring backstage staff, creating production calendars and budgets, driving the design process forward, overseeing load-in, tech and strike, and provides production support for other departments, including Community Engagement and for Development events like the annual gala. The Line Producer maintains Profile’s small production inventory, helps envision growth steps for the organization, maintains relationships with local artists and ensures compliance with Federal, State, Local, and Union regulations and Profile Theatre Company policies.

Season Planning

  • Read scripts and participate in staff discussions of plays and playwrights, with a particular eye towards producing opportunities and challenges.
  • Analyze potential scripts for budgetary impact and highlight any special skills, equipment or space (venue, shop, etc) required.
  • Once selected, develop production budget for the season, in close collaboration with the Artistic Director.

Production Management

The Line Producer is responsible for all logistical and budgetary aspects of each theatrical production, including:

  • Build a production calendar, including design deadlines, tech schedule, and production meetings, and attend key production dates: first rehearsal, first read, load-in, all technical rehearsals, all preview performances, strike, and other rehearsals as needed. 
  • Facilitate production meetings, helping drive forward the collaborative process, assuring designs are achievable and stay within budget, facilitating cross-departmental communication, and flagging potential challenges. 
  • Oversee production budget as related to all technical and design elements of production Build and submit weekly production payroll reports for processing by Company Manager.
  • Hire all production technicians and overhire, including but not limited to TD, electricians, carpenters, painters, board ops, wardrobe, etc. 
  • Comply with and make sure others comply with all rules and regulations established for the use and protection of the theatre.
  • Read daily rehearsal and performance reports, and follow up as needed to ensure all notes are addressed.
  • Coordinate and supervise strike, including return of all rented/borrowed props, costumes, and other items; ensuring the grid is restored to the Rep Plot; and completing a walk-through of spaces used to confirm they are reset and ready for the next user. 

Production Payroll and Expenses

  • Track designer expenditures, rentals, and borrowed items regularly, and request written approval from Artistic Director for additional expenditures before designers exceed budgets. 
  • Authorize contractor payments and budget advances, document invoices and reimbursement requests and submit for processing by Company Manager.
  • Approve production payroll when submitted by Company Manager for processing, assuring all union payments, royalty payments, and associated reports have been processed and submitted by the Company Manager.
  • Collect receipts from department heads and reconcile against the master budget.
  • Manage production inventory and purchase supplies as needed.

Production Liaison 

  • Manage, grow, and strengthen Profile’s relationships with artists that work with our organization throughout the season and others in the community.
  • Develop relationships with civic organizations, arts and culture groups, and our local community partners and vendors to facilitate resources for our production and design needs throughout the season.
  • Act as the Artist Liaison for Profile Theatre, facilitating a space for artists to share their needs, expectations, and concerns during production runs. 
  • Work to grow and diversify our artist portfolio; and
  • Work closely with the Artistic Director on artist development and engagement.

Other Duties

  • Coordinate with Finance Manager to assist with reconciliation and company profit/loss and other budget reporting.

  • Strong computer skills, including comfort with cloud-based databases and software like Quickbooks, CRM, AP software, payroll systems, GSuite, MS Office, Adobe, etc.
  • Understanding of theatrical union standards and requirements; Federal, State, and Local employment compliance requirements; and knowledge of payroll and human resources best practices, or willingness to learn.

Lisa Sanaye Dring (she/her) is a writer, director and actor originally from Hilo, Hawaii and Reno, Nevada. She has been nominated for an Emmy for her work as a writer and director. This year Lisa will have productions with Skylight Theatre (Hungry Ghost) and La Jolla Playhouse with Ma-Yi Theater Company (SUMO). She has recently worked on multiple projects with Meow Wolf and was a member of The Geffen Writers’ Room. She was awarded the 2021 Dorothy and Granville Hicks Residency at Yaddo, which honors one promising young writer a year. 

Ari Chadwick-Saund (they/them) is a South Asian/mixed race nationally produced playwright, emcee and multidisciplinary artist based in Portland, Oregon. Recent poetry publications include collections in Pile Press, Mythos Magazine, and Drip Literary Magazine.  They are a proud company member of Theatre Diaspora and enjoy collaborating with Portland area artist organizations; some include Oregon Children’s Theatre, APANO, LineStorm Playwrights/ Bag & Baggage Productions, Body Home Fat Dance, and Profile Theatre.  

Dmae (Dee-May) Lo Roberts (she/her) is a two-time Peabody award-winning writer, director, theatre and media artist and is the executive producer of the nonprofit, MediaRites. Her Peabody award-winning documentary Mei Mei, a Daughter’s Song is a harrowing account of her mother’s childhood in Taiwan during WWII. Her Peabody award-winning series Crossing East was the first AAPI history series distributed on 230 public radio stations. With Samson Syharath,(See-hah-rahth) she co-founded Theatre Diaspora, Oregon’s first AAPI theatre, as a project of MediaRites. Roberts directed two shows at Oregon Children’s Theatre. She will be directing for Yohen at PassinArt Theatre and for Portland Opera on a new opera she was commissioned to write. 

Cristi Miles (she/they) is a native of El Paso, Texas and is a theatre artist rooted in Portland, OR. She enjoys making life awesome with her husband, daughter, and their 3 pet friends. She wildly enjoys teaching, and making radical art with PETE (petensemble.org) where they recently concluded FRONTERIZA, a three year long project investigating Cristi’s identity in context of the immigration crisis along the US/Mexico border.  Her work has taken her all across the Pacific Northwest and Northeastern parts of the US. Cristi is a founding faculty member at the Institute for Contemporary Performance and a graduate of The Oregon Center for Alexander Technique (AmSAT certified teacher).

Jimena Alvarado (she/her) is a professor specializing in gender, sexuality, and intercultural issues. Jimena is a Queer Central American immigrant who has gone back and forth for decades, and has recently decided to make Portland her permanent home.

Ben “Milc” Johnson

Ben Johnson was excited to make his acting debut in Welcome To Arroyo’s. He is a NE Portland native who has garnered success nationally in the underground hip-hop scene under the MC name Milc, releasing several projects in the last 2 years alone (most recently ‘Neutral Milc Motel’ and ‘Windbreaker XL’). He has performed shows in Portland and beyond, opening for acts like Boldy James, Armand Hammer and Blu and Exile. Arroyo’s was Ben’s first foray into acting, and he’s excited for the opportunity to highlight the joy of rap and connect with his community in a new way.

Anthony “Tron” Parrish is an artist based in Portland, OR. He has been performing musically as Old Grape God since 2012, releasing 37 albums through 2022, collaborating with over 100 other musicians (including Milc, who plays Trip Goldstein). When he is not performing, he is a self-taught oil painter, poet, muralist, embroiderer, designer, producer, audio engineer, printmaker, or whatever the job calls for; claiming the title of All-Purpose Artist. After spending most of his 20’s working in leather goods, Tron made the switch to full-time artist, in a quest to explore every artistic medium and form of expression. He also co-hosts a monthly comedy show at Beuhlahland called Stoolhumpin’. Welcome To Arroyo’s is Tron’s first time acting outside of a music video.

Levi Cooper – NCAA D1 heavyweightwrestler at Arizona State University. Performed for WWE 2014-2020 under the pseudonym “Tucker Knight,” one half of the tag team Heavy Machinery. A father of 2, Kenzi and Storm.

Matthew Sepeda is an actor and fight choreographer based in Portland and he is absolutely thrilled to be a part of his first show with Profile Theatre. He received his B.A. in Drama from the University of Portland and has been working around town since graduating. A few roles/shows he’s been particularly proud to be a part of are Diego Moreno and CP Conyers in Bella: An American Tall Tale with Portland Playhouse, Leaf Coneybear in 25th Annual Putnam County Spelling Bee with The Anonymous Theatre Company as well as Septimo in Wolf at the Door and Bartolome the Cat in Alebrijes with Milagro. Matthew would like to thank his friends and castmates as well as everyone else that has been a part of this process. Their support and hard work has been integral in creating this amazing show. Gemma Whelan

Gemma Whelan (she/her) is an award-winning director, screenwriter, and educator. As an Irish immigrant to the U.S. her perspective crosses the boundaries between cultures, and as an artist she gives expression to stories that have been suppressed. She was the Founding Artistic Director of Wilde Irish Productions in the San Francisco Bay Area and Corrib Theatre in Portland, Oregon. In Portland, she has also directed at Artists Repertory Theatre, Profile Theatre, Milagro, CoHo Theatre, Boom Arts, and Portland Center Stage’s JAW Festival. 

Gemma has extensive experience working on both classical and contemporary works and has directed and assisted in the development of numerous world premieres. She has taught theatre and film at colleges, universities, and conservatories from San Francisco to Singapore. Her novels are Fiona: Stolen Child and Painting Through the Dark. She is also published in the Wordstock Ten Anthology and The New Hibernia Review. 

Gemma earned her BA in English and French at Trinity College, Dublin, and has graduate degrees in Theatre (University of California, Berkeley) and Film (San Francisco State University). She lives in Portland, OR.

Cindy Williams Gutiérrez

Cindy Williams Gutiérrez is a poet, playwright, producer and educator. Her work is inspired by the silent and silenced voices of ourstory. She co-produced her dynamic choreopoem In the Name of Forgotten Women with CoHo Productions in April 2022. She received the 2017 Oregon Book Award for Drama for Words That Burn which premiered at Milagro in 2014. This award-winning drama was presented at the Linkville Playhouse in Klamath Falls, Oregon and the Merc Playhouse in Twisp, Washington in 2017, and was recorded by OPB for the Literary Arts Archive Project in 2018.

Cindy’s third poetry collection, This Tender Geography, is forthcoming from Lost Horse Press. She was awarded the 2018 Willow Books Editor’s Choice Poetry Selection and a 2016 Oregon Literary Fellowship for Inlay with Nacre: The Names of Forgotten Women. She was selected by Poets & Writers Magazine as a 2014 Notable Debut Poet for the small claim of bones (Bilingual Press/Arizona State University), which placed second in the 2015 International Latino Book Awards. 

A passionate educator, Cindy has taught creative writing to adults through Annie Bloom’s Books, the Attic, Literary Arts Delve Seminars, LiTFUSE Poet’s Workshop, the Maryhill Museum of Art Teachers’ Institute, the Oregon Council for Teachers of English and the Oregon Poetry Association. She is cofounder of Los Porteños, Portland’s Latinx writers’ collective, and the founding producer of El Grupo de ’08, a Lorca-inspired, Northwest collaborative artists’ salon. Cindy earned an MFA from the University of Southern Maine Stonecoast Program with concentrations in Mesoamerican poetics, drama and creative collaboration.

Ben Johnson is excited to be making his acting debut in Welcome To Arroyo’s. He is a NE Portland native who has garnered success nationally in the underground hip-hop scene under the MC name Milc, releasing several projects in the last 2 years alone (most recently ‘Neutral Milc Motel’ and ‘Windbreaker XL’). He has performed shows in Portland and beyond, opening for acts like Boldy James, Armand Hammer and Blu and Exile. This is Ben’s first foray into acting, and he’s excited for the opportunity to highlight the joy of rap and connect with his community in a new way.

Anthony “Tron” Parrish is an artist based in Portland, OR. He has been performing musically as Old Grape God since 2012, releasing 37 albums through 2022, collaborating with over 100 other musicians (including Milc, who plays Trip Goldstein). When he is not performing, he is a self-taught oil painter, poet, muralist, embroiderer, designer, producer, audio engineer, printmaker, or whatever the job calls for; claiming the title of All-Purpose Artist. After spending most of his 20’s working in leather goods, Tron made the switch to full-time artist, in a quest to explore every artistic medium and form of expression. He also co-hosts a monthly comedy show at Beuhlahland called Stoolhumpin’. Welcome To Arroyo’s is Tron’s first time acting outside of a music video.

Bobby Bermea is the co-artistic director of The Beirut Wedding World Theatre Project, a 20 year member and now part of the leadership body of Sojourn Theatre, and a long-standing member of Actors Equity Association. Bermea is a writer, director and award-winning actor and has appeared in theatres literally from New York, NY to Honolulu, HI. As a director, Bermea has recently helmed productions of My Soul Grown Deep and The Green Book with BaseRoots Theatre, Hollow Roots with BoomArts, Dr. Jekyll and Mr. Hyde and The Sexual Neuroses of Our Parents with Theatre Vertigo, Wait Until Dark at Northwest Classical Theatre (for which he was a finalist for a Drammy Award), and Top Dog/Underdog at Street Scenes.  This is Bermea’s third stint as a director at Profile Theatre (having previously helmed Blue Door and Fires In the Mirror) and ninth production at Profile overall and he’s ecstatic to finally be working on a comedy!

Mic Crenshaw is a world class MC and poet who has emerged on the national – and international stage. Crenshaw was born in the Southside of Chicago, and was raised both there and in Minneapolis, where he became a leading voice for social equity and racial justice. After moving to Portland in 1992, he quickly became one of the most respected artists in the Northwest – he has recorded and produced over ten albums, recorded and performed with Dead Prez and Immortal Technique, and is the founder and frontman for the Portland based hip hop group Hungry Mob. In 2001, Crenshaw won The Portland Poetry Slam Championship and went on to finish as a national finalist. He is a long-time anti-racist and social justice activist, educator, and co-host of the 11-episode podcast “It Did Happen Here,” which Crenshaw describes as “the people’s history of anti-fascist and anti-racist organizing primarily in Portland, but it draws from stories that involve Minneapolis and a broader national story that took place in the eighties and nineties.”

Tiffany Conklin is Executive Director and co-founder of the Portland Street Art Alliance (PSAA), a non-profit organization that manages and documents the creation of public works of art, educates the public about the significance of street art and related traditions, and builds supportive networks for local, regional, and international artists. Tiffany has nearly two decades of professional research experience, including 16 years managing projects at Portland State University. She holds a Bachelors in Cultural Anthropology and Sociology, and a Masters of Urban Studies from Portland State University, with a specialty focus on Public Space. As ED for PSAA, Tiffany manages the daily operations, including all commissioned work, community art projects, public policy consultation, and a variety of public engagement activities.
